Assigning teachers to classes and subjects

How to assign a class teacher and subject teachers to each class section, handle teacher changes during the term, and understand what each assignment type controls.

Before you begin

  • Class sections have been created (article 7.1).
  • Teachers have been invited and have accepted their invitation (article 1.3).
  • You are logged in as School Admin or Principal.

Types of teacher assignment

School Vault has two types of teacher assignment:

  • Class Teacher, one teacher responsible for the whole class. The class teacher can mark attendance, write daily reports, view all Learning Journals, and add class teacher remarks on report cards. Only one class teacher is allowed per class section at a time.
  • Subject Teacher, a teacher assigned to a specific subject for a specific class. Subject teachers can enter marks and set homework for their assigned subject in that class. A class can have multiple subject teachers (one per subject).

Assigning the class teacher

  1. Go to Classes and click the class section.
  2. Click Assign Class Teacher.
  3. Search for the teacher by name.
  4. Click Assign.

The class teacher immediately gains access to attendance, daily reports, and Learning Journals for that class.

Assigning subject teachers

  1. Go to Settings → Subject Management → Subjects tab.
  2. Click the subject.
  3. Click Assign to Class.
  4. Select the class section and the subject teacher.
  5. Save. The teacher now sees this subject in their mark entry and homework screens.
The class teacher and a subject teacher can be the same person. In primary schools where one teacher teaches all subjects, assign that teacher as both the class teacher and the subject teacher for every subject.

Assigning an assistant teacher or key person

  1. Go to the class section and click Assign Staff.
  2. Select the staff member and their role: Assistant Teacher or Key Person.
  3. Save.

Assistant Teachers can mark attendance and write daily reports. Key Persons can write Learning Journal observations for their assigned children only, they do not have full class access.

Changing the class teacher mid-term

  1. Go to the class section → Assign Class Teacher.
  2. Click Remove Current Teacher.
  3. Assign the replacement teacher.

The outgoing teacher immediately loses access to the class. Historical records they created (attendance marks, daily reports, observations) remain associated with their name. The new teacher takes over from the current date.

Removing a teacher from a class does not delete their records. A teacher who leaves the school should be deactivated in Staff → Deactivate, not just removed from the class. Deactivating prevents login; removing from a class only removes access to that class.

Common mistakes

  • Assigning a subject teacher at the staff level (inviting them as a Subject Teacher role) but not assigning them to any specific subject in a specific class, the role alone does not grant access to any mark entry screen.
  • Forgetting to assign an assistant teacher, assistants who are not assigned to a class cannot write daily reports even if they are present in the room every day.
  • Not removing a teacher who has been reassigned, if a teacher moves from Nursery 1A to Nursery 2A, they will have access to both classes until you remove them from the old one.
