Creche Daily Reports: structured updates sent to parents via WhatsApp

The Creche Daily Reports module provides a structured daily communication form for creche and nursery-age children, covering meals, naps, activities, mood, toilet, and remarks, sent directly to parents via WhatsApp. This article explains how to create, save, and send reports, and how to track which children have been reported on each day.

Before you begin

  • Students are enrolled and their parents have been linked (article 1.5).
  • Parent WhatsApp numbers are on file in the student record.
  • You are logged in as a Teacher or School Admin.

What Creche Daily Reports are and how they differ from standard reports

Creche Daily Reports is a dedicated module for creche and nursery-age children. It is different from the standard Daily Report (article 4.1) in two important ways:

  • Delivery: Creche Daily Reports are sent via WhatsApp, directly to the parent's phone. They do not require the parent to log in to the portal.
  • Structure: The form is optimised for very young children, with a Toilet section (for nappy tracking), quick-tap meal ratings (Excellent / Good / Fair / Poor), and a Remarks tab for end-of-day notes rather than a free-form publication.
Which module should I use? Use Creche Daily Reports for children aged 0–3 (creche and playgroup) where parents need a fast WhatsApp update. Use the standard Daily Reports module for older nursery and primary children whose parents check the parent portal.

The Overview tab: daily status at a glance

When you open Creche Daily Reports from the main navigation, you land on the Overview tab. This shows:

  • Draft Reports: reports started but not yet sent
  • Reports Sent: how many have been delivered to parents today
  • Total Children: how many children are in scope

Below the stats, a list of every child shows their report status for the selected date: Not Started, Draft, or Sent. You can search by name or filter by class. Click Create Report next to any child to start their daily report.

Creating a report for a child

  1. From the Overview tab, find the child and click Create Report. You can also click the Create Report tab and use the date picker to select the reporting date.
  2. The report opens with the child's name, class, and date shown at the top. The status badge shows draft.
  3. Work through each tab in sequence:

Meals tab

For each meal (Breakfast, Lunch, Snack), tap the rating: Excellent, Good, Fair, or Poor. Quick-note chips appear below the rating, for example "Ate most of the meal", "Had a good appetite today", "Finished most portions", "Ate well with minimal prompting". Tap any chip to add it to the report instantly. Add a free-text note for additional detail.

Nap Time tab

Record nap start time, end time, and any relevant notes about the quality of the child's sleep.

Activities tab

Log the activities the child took part in during the day. Add a brief description of how they engaged.

Mood tab

Record the child's overall mood and any notable emotional observations during the day.

Toilet tab

Record nappy changes or toilet visits with times. This section is particularly important for very young children and for parents who need to track patterns (e.g. children who are toilet training).

Remarks tab

Add any general end-of-day observations that do not fit into the other sections, teacher notes, reminders for parents, or anything notable about the child's day.

Saving and sending the report

  1. At any point, click Save Draft to save progress without notifying the parent. The child's status changes to Draft on the Overview tab.
  2. When the report is complete, click Send to Parent. The report is sent via WhatsApp to the parent's registered number immediately. The status changes to Sent.
Save drafts as you go. The Meals and Toilet sections can be updated throughout the day. Save a draft after each meal and update it again at nap time and pickup. This is more accurate than trying to fill in the whole day from memory at 3pm.

Sending all reports at once

At the end of the day, you can send all completed draft reports to parents in one action. From the Creche Daily Reports page, click Send All via WhatsApp. All reports in Draft status are sent simultaneously. Reports that are already Sent or Not Started are not affected.

Review before bulk-sending. Once sent, reports cannot be unsent. Check the Overview tab to confirm every draft is complete before clicking Send All via WhatsApp.

Report History tab

The Report History tab shows a record of all reports sent. Use the date picker to look up past dates. Each entry shows the child's name, the date, the status, and who sent the report.

Common mistakes

  • Leaving children on "Not Started" at the end of the day. Parents notice when they do not receive a report. Use the Overview tab to check for any "Not Started" children before leaving.
  • Clicking "Send All via WhatsApp" before completing all sections. Incomplete reports are sent as-is, with blank sections the parent will see. Save a draft as you complete each section and only bulk-send when all drafts are ready.
  • Using Creche Daily Reports for older nursery children whose parents log in to the portal. Those parents may not check WhatsApp for a school message. Confirm with your school admin which delivery channel is configured for each class.
  • Entering incorrect WhatsApp numbers. If a parent says they are not receiving reports, check their WhatsApp number in the student record — it must be a WhatsApp-active number including the country code (e.g. +234 for Nigeria).
