CBT Credentials: generating temporary passwords before a test session

How to use the CBT Credential Manager to generate temporary passwords for parent/student accounts before a computer-based test session, download the credential sheet, and manage account access.

Before you begin

  • Parent accounts are created and linked to students (article 1.10).
  • A CBT test has been created and assigned to the class (article 7.6).
  • You are logged in as School Admin or Teacher.

Why CBT Credentials exist

Computer-based tests in School Vault are taken through the parent portal login. Before a test session, many students (especially younger children) will not know their parent's login credentials. The CBT Credential Manager solves this by letting an admin generate simple, temporary passwords for each account — printed on a credential sheet that the child can use during the test, then discarded or changed afterwards.

Opening the CBT Credential Manager

  1. Go to CBT Credentials from the main sidebar.
  2. The screen shows a list of all student accounts (25 total in the demo) with their associated parent login email and last login date.
Temporary passwords are shown only once. Passwords are stored as one-way hashes. When you generate passwords, School Vault displays them immediately on screen — this is the only time they are visible. Download or print the credential sheet before closing the page. If you navigate away without saving, you will need to generate new passwords.

The account list

The table shows one row per enrolled student, with these columns:

  • Child — the student's name.
  • Class — the class section the student belongs to.
  • Login Email — the parent account email used to log in to take the test.
  • Account Name — the parent's display name, with a parent badge.
  • Last Login — when this account last logged in (or "Never" if unused).

Generating temporary passwords

  1. Use the Search by child or email field to find specific students, or use the All classes dropdown to filter by class section.
  2. Tick the checkbox next to each student whose account should receive a new temporary password. The counter updates: "X accounts selected".
  3. To select all students at once, tick the checkbox in the column header row.
  4. Click Generate & Reset Passwords.
  5. School Vault generates a temporary password for each selected account. The passwords are displayed on screen immediately.
  6. Download or print the credential sheet immediately. The sheet lists each child's name, login email, and temporary password in a format suitable for handing to each child or posting at their workstation.

After the test session

Once the test is complete:

  • Collect and shred the printed credential sheets — they contain working login credentials.
  • Advise parents to change their password the next time they log in to the portal. The system message on first login after a credential reset prompts them to do this.
  • Use the Refresh button on the Credential Manager page to update the Last Login column and confirm which accounts were used during the session.
Generate credentials the day before, not the morning of. If you generate credentials on the day of the test and then encounter a technical issue (printer offline, email not loading), you have no buffer. Print the credential sheets the day before, verify they are readable, and store them securely overnight.

Common mistakes

  • Navigating away from the screen before downloading the credential sheet — the passwords are never shown again once you leave. Always download or print before closing.
  • Generating new credentials for all 25 students when only one class is sitting the test — use the class filter dropdown to select only the relevant class before ticking checkboxes, so other parents' passwords are not reset unnecessarily.
  • Not telling parents that their password has been reset — parents who try to log in between the credential reset and the test session will find their usual password no longer works. Notify them in advance or schedule the reset as close to the test as possible.
